|Nov 26, 2013||The script to correct missing admission status codes and FTE for students was run the evening of Nov. 25.||This correction should now enable LEAs to make the appropriate modifications to a student's enrollment records.
A new school, #296 DPI FTE School, was created in each LEA by NCDPI a few weeks back. This school was populated in the School Column on the Transfer Info screen with an FTE of the current year enrollment records. School users should now edit each enrollment record that does not have an Admission Status code. The steps are as follows:
1. From the Transfer Info screen, under the Previous Enrollments section, click the date of that specific record.
2. From the Edit Previous Enrollment screen, update the Full Time Equivalency by clicking Regular Day from the drop-down.
3. Next, update the Admission Status as appropriate.
4. Click Submit.

|Nov 18, 2013||Over the Nov. 15 maintenance weekend an issue with Race and Reporting Ethnicity was identified. On the staff information screen, all staff with a race value of '(WH) White' is showing as 'No Ethnicities Chosen (X)' for the Reporting Ethnicity. Although this value appears incorrectly on the page, the database houses the correct value.||Custom page update coming Nov. 23-24, 2013.|

|Nov 12, 2013||Re Principal's Monthly Reports (PMRs), as previously communicated, one remaining fix is required to assure accurate ADM counts. To address non-PMR items, there are seven exception-type problems that are being corrected during maintenance weekend Nov. 15. The ADM issue involves students who were in attendance for a portion of a month prior to leaving the State public schools (e.g., moved out-of-state or transferred to a private or home school). Previously, these students were not reflected appropriately in the ADM calculation, but the release will allow them to be handled correctly.||Fixes are coming during maintenance weekend that begins Friday, Nov. 15, 2013.|
|The report card feature continues to function as designed; however, Charlotte-Mecklenburg, Wake and some other larger districts have experienced issues with saving or posting grades. This problem occurs when many teachers enter grades at the same time, resulting in deadlocks in the database. This lockout causes the save command to time out before transactions are completed, resulting in scores not posting.||1. From the Transfer Info screen, under the Previous Enrollments section, click the date of that specific record.||The revised software was sent to the NCDPI on Nov. 7, 2013, and is being tested. It will be released during maintenance weekend that begins Friday, Nov. 15, 2013.|
|Issues to be addressed in the upcoming Nov. 15 maintenance weekend include the saving problems as well as data issues some schools are still experiencing, plus special character issues, SAR issues and PMR issues (see additional info on PMRs in the post above also dated Nov. 12).||2. |Oct 30, 2013||PMRs Showing Students/Grades from Other Schools * There is a known issue with PMRs displaying incorrect student data. Some LEAs are reporting issues where students who do not attend, or have never attended a particular school within the LEA are now showing on that school's PMR report with errors. |Oct 24, 2013||Course titles on transcripts in PowerSchool are limited to 40 characters. Any course title exceeding 40 characters will be truncated when transcripts are generated using PowerSchool. This will sometimes cause certain courses with similar titles to appear as the same course displaying twice on the transcript. NCDPI is working on a resolution and will provide an update once it is in place.||TBD|
|Oct 21, 2013||The following known issues were addressed with updates deployed into PowerSchool this weekend (Oct. 19-20): * The Admission Status update -- This will be a two-part fix. The first part that was deployed this weekend will resolve about 50k records in Production. The second part has not been created; awaiting a request from NCDPI. This should resolve about 1,700 records with no value in Production. * Standard Report Card updated to handle special characters.||Weekend PowerSchool upgrades should improve or fix the eight areas reported under known issues.||Addressed Oct. 19 and 20, 2013|
|Oct 14, 2013||Concerning known transcript issues, Pearson is finalizing the testing data import. LEAs/Charters are requested to begin reviewing NC Standard Transcript, the official transcript, and report anomalies.||You will no longer see immunizations nor previous school info in order to stay in compliance with HIPPA and FERPA regulations. If you run the student transcript, you can access this information there.||Final testing data import underway for transcripts. Barring no major issues, we expect to begin loading the data later this week.|
|PowerSchool maintenance weekend has been postponed to 11/1/13. Upcoming fixes that are expected to go into Production during the Nov. 1 maintenance weekend will include: * Withdrawals showing on PMR, * Prevention of duplicate re-enrollments (same entry and exit dates) from forcing the PMR to error (red minus or Oracle Package Error), * Admission Status Updates required for PMR, * Students with correct track data populated removed from exception report, * Correction for PMR -- 8: Fixes students with race/ethnicity who were not appearing as having race/ethnicity.||Pearson needed more time to get some action items prepared, tested and approved for production.||Nov 01, 2013|

|Oct 03, 2013||In order to address issues of processing speed and to receive data on schools which were added to PowerSchool instances after the initial sync, CECAS has restarted the syncing process. The status of individual LEAs is displayed on the CECAS information site in the Sync Status document in the Reference section of the Documents tab. See link.||Sync Status Document|
|For some schools the PMR will not run. It fails. These issues need to be investigated. Verify that the mappings for entry and exit codes are still in place. On the PMR Interval setup screen, please click the submit button even if the dates appear correct.||This could be a different issue that needs to be investigated by Pearson. If these remedies do not work, LEAs should log a ticket with the Home Base Support Center.|

|EDDIE is the authorative source for school demographic information. Fields in PowerSchool need to be locked so changes can't be made but because that is not happening at present, changes need to be made in EDDIE, not in PowerSchool.||For now, do not enter school demographic changes in PowerSchool because EDDIE overrides it. |Student Scheduling Issue - Special Purpose Schools||Please do not use School numbers 300-799 for assigning students in special purpose schools. These school numbers are assigned through EDDIE and cannot be reused for other purposes. Please use 001-289 for special purpose schools as you schedule students.||More information will be coming soon.|
|Students with numerous family links that should not be family links.||This issue could have resulted from the Family ID and Student Phone both being selected when the Mass Create Family Links was performed. The Family ID may have been blank.||Can be avoided with care in creating Mass Create Family Links actions.|
|Students with multiple student IDs||Report this as a duplicate student and do not change the student's ID again. Report to Support Center.||Completion date TBD.|
|Maintenance Access||Please do not disable maintenance access in PowerSchool. This locks out your technical support.|
|Proper Use of Student Last Name Field||Some districts are inputting extra information (other than the student's last name) into the Student Last Name field. This keeps the system from matching the student appropriately for UID purposes. Only include Student Last Name in the field. This affects matching for Direct Certification (free & reduced lunch) and creates extra work for Lunchroom Point-of-Sale.||Solution can be implemented now.|
